A mortgage file changes every time a document arrives, a condition is cleared, pricing moves, income is explained, or a borrower asks a better question. Treating that file as a static folder hides the real work.
The safer model is a living state machine: what is known, what is missing, who owns the next item, which deadline matters, and what decision cannot be made yet.
What the team should see
A good file view should separate evidence from conversation. Notes are useful, but the file needs durable states: submitted, reviewed, conditioned, cleared, priced, disclosed, locked, approved, closed.
The borrower also needs a clear version of the same truth. They do not need internal noise. They need to know what is needed, why it matters, and what happens after they provide it.
